Detailed Guide
Understanding ShootPath's Pricing Model
ShootPath uses a straightforward subscription model with no per-transaction fees, no setup costs, and no hidden charges. You pay a flat monthly or annual fee based on your chosen plan, and you get unlimited access to all features in that plan tier.
What's Included in Your Subscription:

What's NOT Included:
Your ShootPath subscription covers the software, but you'll need separate accounts for:
- Stripe (payment processing) - Stripe charges 2.9% + $0.30 per transaction
- Email sending (Gmail, SendGrid, etc.) - Most photographers use Gmail (free) or Google Workspace ($6/month)
- Domain name (if using custom portal URL) - $10-15/year through any domain registrar
- Cloud storage (if exceeding plan limits) - All plans include generous storage, but very high-volume studios may need additional space
Free Trial
Every new ShootPath account starts with a 14-day free trial of our Professional plan. This gives you full access to all features so you can thoroughly test the platform and see if it fits your workflow.
What You Get During the Trial:
- Access to ALL Professional plan features

- Full calendar, contracts, and invoicing

- Complete onboarding support
No Credit Card Required We don't ask for payment information to start your trial. You can explore the entire platform risk-free, and only enter billing details if you decide to continue after the trial ends.
What Happens When the Trial Ends:
- If you add a payment method: Your subscription starts automatically and you're charged for your chosen plan
- If you don't add payment: Your account is paused. You can still log in and view your data, but you can't create new records or send emails until you activate a paid plan
- Your data is safe: We keep your data for 90 days after trial expiration, giving you time to decide without losing anything

Starter Plan - $29/month
Perfect for solo photographers and part-time businesses.

Billing Cycles
You can choose to pay monthly or annually when you subscribe.
Monthly Billing
Pay month-to-month with no long-term commitment.
How it works:
- You're billed on the same day each month (the day you first subscribed)
- Charges are automatic—your payment method is charged on your billing date
- You can cancel anytime and won't be charged again after your current period ends
- Pricing: Full monthly rate ($29, $79, or $149 depending on plan)
Best for: Photographers who want flexibility, are testing the platform, or have seasonal income that makes annual prepayment difficult.
Annual Billing
Prepay for a full year and save 20%.
How it works:
- You're billed once per year on your subscription anniversary
- Save 20% compared to monthly billing (2 months free)
- Same features and service as monthly billing
- If you cancel mid-year, you keep access until the end of your paid year (no partial refunds)
Annual Pricing:
- Starter: $348/year (save $72 vs. monthly)
- Professional: $948/year (save $192 vs. monthly)
- Studio: $1,788/year (save $360 vs. monthly)
Best for: Established businesses who know they'll use ShootPath long-term and want to save money. The annual discount often pays for itself when you consider the time saved by streamlined workflows.
Switching Between Billing Cycles:
- You can switch from monthly to annual anytime—you'll be charged the annual rate immediately and your monthly billing stops
- If you're on annual and want to switch to monthly, the change takes effect at the end of your annual period

Payment Methods
ShootPath accepts the following payment methods:
Credit and Debit Cards

Digital Wallets
- Apple Pay

Other Methods
- ACH bank transfers (US only, for annual plans)
- International bank transfers (contact support for setup)
Payment Security: All payments are processed through Stripe, a PCI-compliant payment processor trusted by millions of businesses worldwide. We never store your full card details on our servers—Stripe securely tokenizes your payment information.
Adding a Payment Method:
- Go to Settings → Billing
- Click Payment Methods
- Click Add Payment Method
- Enter your card information or select a digital wallet
- Click Save
Your new payment method is immediately available for subscription charges.
Updating Your Payment Method: If your card expires or you want to switch to a different card:
- Go to Settings → Billing → Payment Methods
- Click Add Payment Method to add a new card
- Set it as Default for future charges
- Optionally remove the old payment method
Failed Payments: If a payment fails (expired card, insufficient funds, bank decline), we'll:
- Retry the charge automatically over the next 7 days
- Send email reminders to update your payment method
- If payment succeeds during the retry period, your subscription continues normally
- If all retries fail, your account is paused after 7 days

Managing Your Subscription
Viewing Your Current Plan:
- Go to Settings → Billing
- Your current plan, billing cycle, and next charge date are displayed at the top
Upgrading Your Plan:
When you need more users, storage, or features:
- Go to Settings → Billing
- Click Change Plan
- Select your new plan tier
- Confirm the upgrade
How upgrade billing works:
- You're charged the prorated difference immediately
- Your billing date remains the same
- Example: If you're halfway through a $29/month Starter plan and upgrade to $79/month Professional, you're charged $25 (the difference for the remaining half month), then $79 on your next billing date
Downgrading Your Plan:
If you need to reduce costs or no longer need advanced features:
- Go to Settings → Billing
- Click Change Plan
- Select your new plan tier
- Confirm the downgrade
How downgrade billing works:
- The change takes effect at the end of your current billing period
- You keep access to your current plan features until then
- On your next billing date, you're charged at the lower rate
- Example: If you downgrade from Professional ($79) to Starter ($29) on June 15, you keep Professional features until July 15 (your billing date), then switch to Starter and are charged $29
Important Downgrade Considerations:
- If you have more users than the new plan allows, you'll need to remove users before the downgrade takes effect
- If you're using features not available in the lower plan (workflows, API, etc.), those features will be disabled when the downgrade occurs
- Your data is preserved—you just can't access certain features or create new records beyond the new plan's limits

Invoices and Receipts
ShootPath automatically generates an invoice for every subscription charge.
Accessing Your Invoices:
- Go to Settings → Billing
- Click Invoice History
- View all past invoices and charges
What's on the Invoice:
- Invoice date and invoice number
- Plan name and billing period
- Amount charged
- Payment method used
- Business information (if you've added it)
- Stripe transaction ID
Downloading Invoices: Click Download PDF next to any invoice to save a copy for your accounting records.
For Tax Purposes: If you need to add business information (company name, VAT number, address) to your invoices:
- Go to Settings → Billing
- Click Business Information
- Add your details
- All future invoices will include this information
Receipt Emails: After each successful charge, you'll receive an email receipt from ShootPath with a link to view and download your invoice.
Taxes
Sales Tax (US): Depending on your location, sales tax may be applied to your ShootPath subscription. Tax rates are automatically calculated based on your billing address.
VAT (European Union): If you're in the EU, VAT is applied based on your country. If you're a VAT-registered business, provide your VAT number in Settings → Billing → Business Information to potentially qualify for reverse charge.
GST (Canada, Australia, New Zealand): GST is applied where required by law based on your billing address.
Tax Exemption: If your business is tax-exempt, contact support with your exemption certificate. We'll apply the exemption to future invoices (past charges can't be refunded for tax exemption).
Cancellation Policy
You can cancel your ShootPath subscription at any time, for any reason, with no penalties or cancellation fees.
How to Cancel:
- Go to Settings → Billing
- Scroll to the bottom and click Cancel Subscription
- (Optional) Tell us why you're canceling—it helps us improve
- Confirm cancellation
What Happens When You Cancel:
- Your subscription stays active until the end of your current billing period
- You won't be charged again after that date
- You can still log in and access your data (read-only) for 90 days after cancellation
- After 90 days, your account is archived (contact support to restore within 1 year)
Immediate Cancellation: If you need to cancel immediately and stop access before your billing period ends, contact support. We can process an immediate cancellation, but we don't offer prorated refunds for unused time.
Reactivating a Canceled Account: Changed your mind? You can reactivate anytime:
- Log in to your account
- Go to Settings → Billing
- Click Reactivate Subscription
- Choose your plan and add a payment method
All your data is preserved, and you can pick up right where you left off.

Refund Policy
Free Trial Refunds: You're never charged during your free trial, so no refunds are needed. If you don't add a payment method, you're not charged at all.
Monthly Subscriptions: Monthly subscriptions are non-refundable. If you cancel, you keep access until the end of your current billing period (the time you've already paid for).
Annual Subscriptions: Annual subscriptions are non-refundable. If you cancel mid-year, you keep access until the end of your paid year.
Exception: First Charge Issues: If there's a technical issue or billing error that causes an incorrect charge, contact support within 7 days. We'll investigate and issue a refund if appropriate.
Why No Prorated Refunds? Photography booking software is not a pay-as-you-go service. You commit to a monthly or annual subscription, and we commit to providing consistent service, support, and infrastructure. Offering prorated refunds would make the service unsustainable for small businesses.
Alternatives to Canceling: If cost is a concern, consider:
- Downgrading to a lower plan tier
- Pausing your account temporarily (contact support—we can work with you)
- Switching to annual billing to save 20%
Getting Help with Billing
Billing Questions: For questions about your subscription, charges, invoices, or account:

- Use the support widget in ShootPath (bottom-right corner)
- Expected response time: Within 24 hours (usually much faster)

Custom Pricing: High-volume studios (200+ bookings per year) or businesses with special requirements may qualify for custom pricing. Contact sales@shootpath.com to discuss your needs.
Common Billing Questions
Can I switch plans anytime? Yes. Upgrades take effect immediately (you're charged the prorated difference). Downgrades take effect at the end of your current billing period.
What happens if I go over my user limit? If you're on Starter (1 user) and try to add a second user, you'll be prompted to upgrade to Professional. Same for Professional (3 users) to Studio (unlimited).
What if I exceed my storage limit? We'll notify you when you reach 80% of your storage. You can upgrade to a higher plan for more storage, or contact support about purchasing additional storage separately.
Do you offer discounts? Annual billing saves 20%. We also offer discounts for nonprofits, educators, and students—contact support with proof of eligibility.
Can I get a refund if I cancel mid-month or mid-year? No. You keep access for the time you've already paid for, but we don't offer prorated refunds.
What if I need more than 3 users but don't want Studio plan features? Unfortunately, user limits are tied to plan tiers. The Studio plan includes additional features because it's designed for larger teams that typically need those capabilities.
Can I pay by check or invoice? Annual plans can be paid via ACH or wire transfer. Contact billing@shootpath.com to arrange.
Is there a discount for paying annually? Yes, annual billing saves 20% compared to monthly billing (equivalent to 2 months free).
What if I want to cancel but keep my data? You can cancel and still log in (read-only) for 90 days. To keep your data beyond that, export it before your 90 days are up, or contact support about archiving your account (you can restore it later).
