Choosing the Right Plan

Not sure which plan fits your needs? Here's how to decide:

Choose Starter if:

  • You're a solo photographer (no team members)
  • You're just starting your business or work part-time
  • You have fewer than 20 clients per year
  • You don't need automation or workflows
  • Your photo storage needs are under 10 GB
  • You're comfortable with basic features

Choose Professional if:

  • You're a full-time photographer
  • You book 20-50+ clients per year
  • You want to automate repetitive tasks
  • You need advanced features like workflows and mini sessions
  • You store 10-50 GB of photos
  • You want faster email support

Choose Studio if:

  • You have a team (photographers, assistants, admins)
  • Multiple people need access to the system
  • You need role-based permissions
  • You want white-label branding for your gallery
  • You store 50+ GB of photos
  • You need API access or custom integrations
  • You want priority support and onboarding help

Still Not Sure? Start with the 14-day free trial of Professional. You'll have access to all features (including workflows, mini sessions, and 50 GB storage) so you can see what you actually use. You can always downgrade to Starter or upgrade to Studio based on what you learn during the trial.

Upgrading Your Plan

As your business grows, you can upgrade to a higher plan at any time.

How to Upgrade:

  1. Go to Settings → Billing
  2. Click Change Plan
  3. Select the plan you want to upgrade to
  4. Review the prorated charges
  5. Click Confirm Upgrade

Prorated Charges: When you upgrade mid-month:

  • You're charged a prorated amount for the remaining days in the current billing period
  • For example, if you upgrade from Starter ($29) to Professional ($59) with 15 days left in the month:
    • You'll be charged: (($59 - $29) / 30 days) × 15 days = $15
    • Your next full charge will be $59 on your renewal date

What Happens Immediately:

  • All new features are available instantly
  • Storage limits increase immediately
  • You can start using workflows, advanced galleries, etc.
  • Your billing date doesn't change

Team Member Addition (Studio only): When you upgrade to Studio or add team members:

  • First 5 users are included in the $99/month base price
  • Additional users are $15/month each
  • New users are prorated for the current billing period
  • You can add/remove team members anytime

Downgrading Your Plan

If you need to reduce costs or don't need certain features, you can downgrade to a lower plan.

How to Downgrade:

  1. Go to Settings → Billing
  2. Click Change Plan
  3. Select the plan you want to downgrade to
  4. Review the limitations and what you'll lose
  5. Click Confirm Downgrade

What Happens:

  • Your downgrade takes effect at the end of your current billing period
  • You keep access to all features until then
  • You'll be charged the lower rate on your next billing date
  • No refund for the current period (you already paid for the full month)

Before Downgrading, Consider:

Starter → Losing Professional features:

  • Workflows stop running (they're paused, not deleted)
  • Extra contract/email templates are hidden (not deleted)
  • Storage over 10 GB remains accessible but you can't upload more
  • Mini sessions won't accept new bookings

Professional → Losing Studio features:

  • Team members lose access (except the owner)
  • White-label gallery reverts to ShootPath branding
  • API access is disabled
  • Storage over 50 GB remains accessible but you can't upload more

Downgrade Best Practice: Before downgrading:

  1. Export any data or reports you need
  2. Download photos if over the new storage limit
  3. Inform team members if removing their access
  4. Archive or simplify workflows if downgrading from Professional to Starter

You can always re-upgrade if you change your mind (your workflows, templates, and settings are preserved).

Annual vs. Monthly Billing

You can choose to pay monthly or annually. Annual billing saves 20%.

Monthly Billing:

  • Starter: $29/month
  • Professional: $59/month
  • Studio: $99/month

Benefits:

  • Lower upfront cost
  • Flexibility to cancel anytime
  • Easy to upgrade/downgrade

Annual Billing:

  • Starter: $279/year (save $69 = 20% off)
  • Professional: $569/year (save $139 = 20% off)
  • Studio: $959/year (save $229 = 20% off)

Benefits:

  • Save 20% compared to monthly
  • Lock in current pricing for a year
  • One payment and forget about it
  • Shows up as single expense for accounting

Switching to Annual: You can switch to annual billing at any time:

  1. Go to Settings → Billing
  2. Click Switch to Annual
  3. You'll be charged for a full year minus the prorated value of your current monthly period
  4. Your billing date changes to the switch date

Example: You're on Professional monthly ($59) and paid on the 1st of the month. On the 10th, you decide to switch to annual:

  • You've used 10 days of your $59 monthly payment
  • Remaining value: ($59 / 30) × 20 days = $39.33
  • Annual cost: $569
  • You're charged today: $569 - $39.33 = $529.67
  • Next charge: $569 on the same date next year

Annual Billing Refunds: If you cancel an annual plan:

  • No refund for unused months (per our terms of service)
  • Exception: If you cancel within 30 days of purchase and used less than 25% of features, we'll refund the prorated amount (contact billing support)
  • Consider pausing instead of cancelling (see Cancellation)

Volume Discounts and Special Offers

Multi-Year Discounts: Pay for 2+ years upfront and save more:

  • 2 years: Additional 10% off annual price
  • 3 years: Additional 15% off annual price

Nonprofit Discount: Registered nonprofits (501c3 in the US, equivalent elsewhere) get 25% off any plan:

  1. Send proof of nonprofit status to sales@shootpath.com
  2. We'll apply a coupon to your account
  3. Discount applies automatically to future invoices

Student Discount: Students enrolled in photography programs get 40% off Starter or Professional plans while enrolled:

  1. Email sales@shootpath.com with:
    • Proof of enrollment (student ID or enrollment letter)
    • Expected graduation date
  2. We'll apply a coupon valid for up to 4 years
  3. You'll need to re-verify enrollment annually

Referral Credits: Refer another photographer to ShootPath and get free months:

  1. Go to Settings → Referrals
  2. Share your unique referral link
  3. When someone signs up via your link and becomes a paying customer, you both get:
    • Starter: 1 month free
    • Professional: 1 month free
    • Studio: 1 month free

No limit on referrals. Credits are automatically applied to your account.

Promotional Offers: We occasionally run limited-time promotions:

  • Black Friday / Cyber Monday discounts
  • End-of-year promotions
  • Launch promotions for new features

Adding Team Members (Studio Plan)

The Studio plan includes 5 users. Add more for $15/month per user.

How to Add a Team Member:

  1. Go to Settings → Team
  2. Click Invite Team Member
  3. Enter their email address
  4. Select their role:
    • Admin: Full access except billing
    • Team Member: Can manage assigned jobs, limited settings access
    • Limited: View-only access to assigned jobs
  5. Click Send Invite

The team member receives an email with a link to create their account. Once they sign up, they're added to your team.

Billing for Team Members:

  • Team members are prorated when added mid-month
  • You're charged $15/month per team member (prorated) on your next billing date
  • Charges continue until you remove the team member
  • No charge for invited team members who haven't accepted yet

Example: You're on Studio ($99/month, includes 5 users) and you already have 5 team members. You add a 6th team member on the 10th of the month:

  • Prorated charge: ($15 / 30 days) × 20 days = $10
  • Your next invoice will be: $99 (base) + $15 (6th member) = $114/month

Removing Team Members:

  1. Go to Settings → Team
  2. Click Remove next to the team member
  3. Confirm removal

The team member immediately loses access. The charge for that team member stops at the end of the current billing period (no prorated refund).

Storage Add-Ons

All plans include photo storage (Starter: 10 GB, Professional: 50 GB, Studio: 100 GB). If you need more, you can purchase additional storage.

Storage Add-On Pricing:

  • 25 GB: $10/month
  • 50 GB: $18/month
  • 100 GB: $30/month
  • 250 GB: $60/month

How to Add Storage:

  1. Go to Settings → Billing → Add-Ons
  2. Select the storage tier you need
  3. Click Add to Subscription
  4. Prorated charge is applied to your next invoice

Checking Your Storage Usage:

  1. Go to Settings → Storage
  2. You'll see:
    • Current usage (GB)
    • Storage limit (GB)
    • Percent used
    • Top storage consumers (jobs with most photos)

Storage Best Practices:

  • Delete old gallery photos after delivery (keep locally backed up)
  • Use external storage for archived work
  • Compress photos before uploading
  • Deliver final files via gallery, then delete proofs after client confirms download

Payment Processing Fees

ShootPath's subscription fee covers the CRM software. Payment processing (when clients pay you) is handled by Stripe, which charges separately.

Stripe's Standard Fees:

  • 2.9% + $0.30 per successful card charge
  • Example: Client pays $1,000 invoice = $29.30 fee

Who Pays the Fee:

  • You (the photographer) absorb the fee
  • Client is charged exactly the invoice amount
  • Stripe deducts the fee before depositing to your bank

Stripe Pricing Varies by Volume: If you process over $100,000/year with Stripe, you may qualify for custom pricing (lower fees). Contact Stripe directly to negotiate.

ShootPath's Role:

  • We don't mark up Stripe fees
  • We don't take a percentage of your transactions
  • You pay only your ShootPath subscription + Stripe's fee to Stripe

This is one of ShootPath's core advantages: flat subscription pricing with no transaction fees on our end.


Common Questions

Can I switch plans anytime? Yes! Upgrade anytime (effective immediately) or downgrade at the end of your current billing period. See Upgrading and Downgrading above.

What happens if I exceed my storage limit? You can still download existing photos, but you can't upload new ones until you:

  • Delete old photos to free up space
  • Purchase a storage add-on
  • Upgrade to a plan with more storage

Do you offer custom plans for large studios? For studios with 10+ team members or 500+ GB storage needs, contact sales@shootpath.com. We can create a custom plan with:

  • Discounted per-user pricing
  • Dedicated storage
  • Priority support with dedicated rep
  • Custom onboarding and training

Can I change from monthly to annual billing? Yes. Go to Settings → Billing → Switch to Annual. You'll be charged for a full year minus the prorated value of your current monthly period (see Annual vs. Monthly Billing above).

What's included in the free trial? The 14-day trial includes all Professional plan features:

  • Unlimited clients, leads, jobs
  • All templates and features
  • 50 GB storage
  • Workflows, mini sessions, etc.

You won't be charged unless you add a payment method and activate a subscription. See Billing Overview for details.

Do I need to pay for Stripe separately? Yes. ShootPath integrates with Stripe for payment processing, but Stripe is a separate service:

  • Create a free Stripe account (stripe.com)
  • Connect it to ShootPath (Settings → Integrations → Stripe)
  • Stripe charges 2.9% + $0.30 per transaction
  • These fees go to Stripe, not ShootPath

Can I try a higher plan before committing? Yes! During your trial, you have Professional features. To try Studio features (team members, white-label gallery):

  1. Contact sales@shootpath.com
  2. We'll temporarily upgrade your trial to Studio
  3. Test team features during your trial
  4. Choose the right plan when activating

What if I only need ShootPath seasonally? Consider pausing your subscription during off-season:

  1. Go to Settings → Billing → Pause Subscription
  2. Choose pause duration (1-6 months)
  3. No charges during the pause
  4. Your account and data are preserved
  5. Subscription resumes automatically after the pause
