Questionnaires Overview

Quick Reference

Questionnaires help you gather essential information from clients before sessions or events. Instead of playing email tag asking dozens of questions, send one organized questionnaire your client fills out at their convenience.

What Questionnaires Do:

  • Gather details - Session preferences, timeline information, important moments
  • Reduce back-and-forth - All questions answered in one place
  • Improve preparation - You know exactly what to expect before arriving
  • Set expectations - Clients think through logistics and preferences
  • Save time - No more hunting through emails for client answers

Common Uses:

  • Pre-session questionnaires - Location, wardrobe, must-have shots
  • Wedding day timelines - Schedule, key people, special requests
  • Newborn sessions - Baby's age, nursery colors, prop preferences
  • Family portraits - Family dynamics, relationship to capture, group combinations
  • Real estate - Property details, key features, branding requirements

How It Works:

  1. Create a questionnaire with your questions
  2. Send it to the client (automatically via workflow or manually)
  3. Client fills it out in the portal (mobile-friendly)
  4. You review their answers and prepare accordingly

Quick Access:

  • Create questionnaires in Settings > Questionnaires
  • Send questionnaires from any job's Workflow or Actions menu
  • View client responses in the job's Questionnaire tab

Detailed Guide

Why Questionnaires Matter

Think about how much information you need before a photo session. For a simple portrait session, you might need:

  • Location preferences
  • What they're hoping to get from the session
  • Who will be in the photos
  • Wardrobe style
  • Any special poses or shots they want
  • Mobility or accessibility considerations

For a wedding, you need:

  • Complete timeline from start to finish
  • Names and roles of wedding party members
  • Family dynamics and groupings for formals
  • Key moments they absolutely want captured
  • Venue layout and restrictions
  • Special traditions or surprises
  • Vendor contact information
  • Emergency contacts

Without questionnaires, you'd need to send a dozen follow-up emails asking all these questions—and clients might forget to answer some! With questionnaires, you ask everything once, clients answer at their convenience, and you have all the information organized in one place.

What Makes a Good Questionnaire?

A well-designed questionnaire:

Asks the Right Questions

Focus on information you actually need to deliver great results. Don't ask "What's your favorite color?" if it doesn't affect how you shoot or edit.

Good questions are:

  • Actionable - You'll use the answer to make specific decisions
  • Relevant - Directly related to the type of session
  • Clear - Client knows exactly what you're asking
  • Specific - "What time is your ceremony?" not "When is the wedding?"

Feels Personal, Not Generic

Template questionnaires are fine starting points, but customize them! Use your voice and your specific process.

Instead of: "List family members for formal photos" Try: "I love capturing family connections! Who are the VIPs we absolutely need photos with?"

This small change makes it feel like you wrote it specifically for them (because you did!).

Isn't Overwhelming

If your questionnaire has 50 questions, clients will procrastinate filling it out. Keep it focused:

  • 10-15 questions for simple sessions
  • 20-30 questions for complex events like weddings
  • Break into sections to make it feel manageable

Gives Context

For each question (or section), explain why you're asking. This helps clients give better answers.

Instead of just: "List family groupings" Add context: "This helps me work efficiently during family formals so we can get you back to your party quickly!"

Now they understand the question serves them, not just you.

Types of Questionnaires

Different photography services need different information:

Pre-Session Questionnaires (Portraits, Families)

These focus on logistics and preferences:

  • Location and time preferences
  • Who will be in the photos
  • Wardrobe style/colors
  • Specific shots they're hoping for
  • Props or items to bring
  • Pets included?
  • Special considerations (mobility, shyness, etc.)

Goal: Ensure a smooth session where you capture exactly what they're hoping for.

Wedding Day Questionnaires

These are the most detailed, covering:

  • Complete timeline (start to finish)
  • Wedding party names and roles
  • Family groupings for formal photos
  • Key moments and traditions
  • Vendor information and contacts
  • Venue layout and restrictions
  • "Must-have" shot list
  • Any surprises or special plans

Goal: Be prepared for every moment so nothing important is missed.

Newborn Questionnaires

These focus on safety and style:

  • Baby's age and temperament
  • Feeding schedule
  • Color preferences for props/wraps
  • Nursery theme
  • Sibling/family involvement
  • Special items to include
  • Safety concerns or restrictions

Goal: Create a comfortable, safe session that produces images parents will treasure.

Commercial/Brand Questionnaires

These focus on business needs:

  • Brand colors, style, personality
  • Intended use of photos (website, social, print, ads)
  • Key products or services to highlight
  • Team members to photograph
  • Location preferences
  • Specific deliverables needed
  • Usage rights requirements
  • Timeline and deadline

Goal: Deliver photos that perfectly align with their brand and marketing needs.

Event Questionnaires

These cover event-specific logistics:

  • Event schedule and timeline
  • Key people to photograph
  • Important moments (speeches, awards, etc.)
  • Group shots needed
  • Venue layout and lighting conditions
  • Dress code
  • Deliverable timeline

Goal: Cover all important moments and deliver photos that capture the event's essence.

Questionnaire Workflow Integration

Questionnaires become even more powerful when integrated into your workflows:

Automatic Sending

Set up workflows to automatically send questionnaires at the right time:

  • 3 weeks before portrait session - Gives clients time to think through details
  • After contract signed for weddings - Early enough to plan but after commitment
  • 1 week before event - Recent enough that details are finalized
  • After deposit for commercial work - Once the job is confirmed

This automation ensures questionnaires are always sent at the optimal time, without you remembering to do it manually.

Reminders

If a client hasn't filled out the questionnaire after a few days, your workflow can send a gentle reminder:

  • "Hey! Just wanted to remind you about the questionnaire—it helps me prepare for your session!"
  • Include the original link
  • Explain why their responses are important

Most clients just forgot or got busy. A friendly reminder is all they need!

Progress Tracking

Workflows can pause or hold tasks until the questionnaire is completed:

  • Workflow shows "Awaiting Questionnaire Response"
  • Once completed, workflow advances to "Confirm Session Details"
  • You're notified when responses come in

This keeps your process moving without manual tracking.

When to Send Questionnaires

Timing matters! Too early and details might change. Too late and you can't plan properly.

Portrait Sessions: 2-3 weeks before

  • Early enough to plan location, wardrobe coordination
  • Late enough that plans are fairly set
  • Gives you time to follow up if needed

Wedding Photography: 4-8 weeks before

  • Long enough to gather detailed information
  • Couples have usually finalized their timeline by now
  • Plenty of time to coordinate with other vendors

Newborn Sessions: After baby is born, before session scheduled

  • Can't ask specifics before baby arrives
  • Send right after birth announcement
  • Schedule session once you know details

Commercial Projects: Immediately after contract signed

  • Shows professionalism and organization
  • Gives you time to prepare properly
  • Client has just committed, so they're engaged

Events: 1-2 weeks before

  • Details are finalized by now
  • Recent enough that information is accurate
  • Enough time to adjust your approach if needed
Flexibility

These timings are guidelines! Adjust based on your process and what works for your clients.

Questionnaire Best Practices

Keep Questions Focused

Every question should have a clear purpose. Ask yourself: "What will I do differently based on this answer?" If you don't have a good answer, remove the question.

Use the Right Field Types

Choose field types that make answering easy:

  • Text fields - Short answers (names, locations)
  • Text areas - Longer responses (timeline details, special requests)
  • Multiple choice - Selecting from options (time preferences, style preferences)
  • Checkboxes - Selecting multiple items (which family groups, must-have shots)
  • Date/time pickers - Scheduling information
  • File uploads - Reference photos, inspiration images, venue maps

Don't make clients type "Outdoor" when they could just select it from a dropdown!

Make Required Fields Obvious

Mark truly essential questions as required. For everything else, make them optional. This respects your client's time while ensuring you get critical information.

Required: Session date, location, contact information Optional: Specific pose requests, wardrobe details, background preferences

Provide Examples

For open-ended questions, give examples to guide responses:

Question: "What moments are most important to you?" Example: "First look, ceremony kiss, father-daughter dance, cake cutting..."

This helps clients understand what level of detail you're looking for.

Group Related Questions

Organize questions into logical sections:

  • Basic Information (contact, date, location)
  • Session Details (who's involved, timing, schedule)
  • Preferences (style, must-have shots, special requests)
  • Logistics (parking, access, special considerations)

Sections make long questionnaires feel manageable and help clients stay organized.

Set a Completion Deadline

Tell clients when you need responses: "Please complete this by [date] so I have time to prepare properly for your session!"

Most clients appreciate the deadline—it helps them prioritize completing it.

Thank Them at the End

The final message after submission should be warm and reassuring: "Thank you! Your responses help me create exactly the photos you're hoping for. I'll review these and reach out if I have any questions. So excited for your session!"

Common Mistakes to Avoid

Too Many Questions

Long questionnaires feel like homework. Clients procrastinate or rush through them, giving low-quality answers. Keep it concise!

Vague Questions

"Tell me about your wedding" is too broad. "What time is your ceremony, and approximately how long will it last?" is specific and actionable.

Asking for Information You Already Have

If you already collected their address, email, or date when creating the job, don't ask again! It feels redundant and wastes their time.

No Flexibility

Sometimes clients need to explain something that doesn't fit your form. Always include an "Anything else we should know?" question at the end.

Sending Too Early

If you send a wedding questionnaire 6 months before the wedding, half the answers will change by the time the day arrives. Wait until details are solidified!

Not Following Up

If a client writes "I have some mobility concerns" or "We want a surprise proposal during the session," follow up! Some answers need conversation, not just notes.

Making It Feel Like a Test

Use friendly, conversational language. You're not interrogating them—you're learning how to serve them better!

Using Questionnaire Responses

Once clients submit their responses, put that information to work:

Review and Plan

Read through responses carefully:

  • Note special requests or concerns
  • Identify potential challenges (tight timelines, difficult lighting)
  • Make a shot list based on their must-haves
  • Plan your approach and equipment needs

Create a Shoot Outline

Based on their responses, create your session plan:

  • Timeline with key moments
  • Shot list organized by location/grouping
  • Equipment needed
  • Any props or extras to bring
  • Backup plans for weather or logistics

Follow Up on Unclear Answers

If something is confusing or incomplete:

  • Send a quick email or text
  • Ask specific follow-up questions
  • Clarify before the session, not during!

Reference During the Session

Bring questionnaire responses with you (printed or on your phone):

  • Quickly check names and spellings
  • Reference their must-have shot list
  • Remember special requests they mentioned
  • Stay on schedule with timeline details

This makes you look organized and prepared—because you are!

Questionnaires and Client Experience

A well-timed, well-designed questionnaire improves your client's experience:

Reduces Anxiety

Clients worry: "What if I forget to tell the photographer something important?" The questionnaire ensures they've covered everything, giving them peace of mind.

Manages Expectations

As clients fill out the questionnaire, they think through logistics and expectations. This mental preparation leads to smoother sessions.

Shows Professionalism

Sending a thoughtful questionnaire signals: "I take your session seriously and want to do this right." It builds confidence in your abilities.

Empowers Clients

Questionnaires give clients a voice in the creative process. They feel heard and involved, which leads to happier clients and better reviews.

Reduces Day-Of Stress

When you show up knowing the timeline, key people, and must-have shots, everyone is more relaxed. No scrambling to figure out details on the fly!

Questionnaires for Different Business Models

High-Volume Photographers (Mini Sessions, School Photos)

Keep questionnaires ultra-short:

  • 5-7 quick questions
  • Multiple choice when possible
  • Focus only on essential prep details
  • Fast completion (2-3 minutes max)

You need efficiency more than deep customization.

Boutique Photographers (Custom Sessions, Premium Weddings)

Use detailed, personalized questionnaires:

  • 20-30 thoughtful questions
  • Open-ended questions to understand their vision
  • Space for creative collaboration
  • Reflects the premium, personalized experience

Your clients expect and appreciate the thorough approach.

Hybrid Approach

Offer different questionnaires based on package:

  • Basic package = Short questionnaire (logistics only)
  • Premium package = Detailed questionnaire (full creative planning)

This adds value to higher tiers while keeping basics efficient.

Measuring Questionnaire Effectiveness

How do you know if your questionnaires are working?

Completion Rate

Are clients actually filling them out? If completion rate is low:

  • Questionnaire might be too long
  • Questions might be confusing
  • Timing might be wrong (too early/late)
  • Follow-up reminders might be needed

Aim for 80%+ completion rate.

Quality of Responses

Are clients giving thoughtful, detailed answers? Or one-word responses?

Good responses = Well-designed questions Poor responses = Questions need clarification or better examples

Session Preparedness

After using questionnaire responses for a few sessions, ask yourself:

  • Did I have all the information I needed?
  • Were there surprises I should have known about?
  • Did the session run smoothly because of the questionnaire?
  • What questions should I add for next time?

Client Feedback

Occasionally ask clients: "Was the questionnaire helpful for planning your session?" or "Did filling out the questionnaire help you think through what you wanted?"

Many will say it helped them clarify their own vision!

Evolving Your Questionnaires

Don't set-and-forget your questionnaires. Review and update them regularly:

After Each Season

For wedding photographers, review after wedding season:

  • What questions helped most?
  • What did you forget to ask?
  • What questions could be removed?
  • What new trends need addressing?

When You Change Your Process

If you start offering drone photography or implement a new workflow, update questionnaires to match.

Based on Client Feedback

If multiple clients are confused by a question or wish you'd asked something, update your questionnaire!

When You Enter New Markets

Expanding to corporate headshots? Create a new questionnaire tailored to that clientele. Don't just reuse your wedding questionnaire!

Questionnaires and Team Workflows

If you have assistants or second shooters, questionnaires become even more valuable:

Shared Context

Everyone on the team can access questionnaire responses:

  • Second shooter knows the shot list
  • Assistant knows the timeline
  • Everyone is on the same page

Task Assignment

Based on responses, assign tasks:

  • "You handle family formals" (with their list of groupings)
  • "You cover getting ready" (with timeline details)
  • "You capture detail shots" (with must-have items listed)

Consistent Experience

Whether you or a team member handles the job, the questionnaire ensures consistent information gathering and preparation.

Advanced Questionnaire Features

As you get comfortable with basic questionnaires, explore advanced features:

Conditional Questions

Show/hide questions based on previous answers:

  • "Do you want engagement photos?" → Yes → "When would you like to schedule the engagement session?"
  • "Is this an indoor or outdoor session?" → Outdoor → "Do you have a backup plan for rain?"

This keeps questionnaires streamlined—clients only see relevant questions.

Pre-filled Information

Auto-populate questions with information you already have:

  • Client name (from job creation)
  • Session date (if already scheduled)
  • Package details (from accepted quote)

This saves clients time and reduces errors.

Multi-Page Questionnaires

For very detailed questionnaires (like weddings), break into multiple pages:

  • Page 1: Basic information
  • Page 2: Timeline details
  • Page 3: People and groupings
  • Page 4: Preferences and special requests

Clients can save progress and return later, making it less overwhelming.

File Attachments

Allow clients to upload:

  • Inspiration photos
  • Venue maps
  • Mood boards
  • Reference images

Visual references help you understand their vision much better than words alone.
