Your ShootPath calendar automatically populates with events from across your business.

Job Sessions

When you add a session date to a job, it appears on your calendar.

What's included:

  • Session date and time
  • Duration (e.g., "2-hour family session")
  • Client name
  • Session location
  • Job type (wedding, portrait, etc.)
  • Session status (scheduled, completed, rescheduled)

Color coding: Each job type has its own color (configurable in Settings > Job Types):

  • Weddings might be purple
  • Family portraits might be blue
  • Corporate headshots might be green
  • Real estate shoots might be orange

This instant visual recognition helps you see at a glance what kind of day you have ahead.

How they appear: Job sessions show on the calendar as colored blocks during scheduled times. Click any session to see details or open the full job.

Mini Session Events

Mini sessions appear differently because they involve multiple clients booking time slots within a single event.

What's included:

  • Event date and time window (e.g., "Fall Mini Sessions: 10am-4pm")
  • Location
  • Number of slots available vs. booked
  • Price per slot
  • Total bookings

Visual display: Mini session events typically show as a larger block spanning the entire event duration, with indicators showing how many slots are filled.

Example: "Fall Mini Sessions - 8 of 10 slots booked" appears as a colored bar from 10am-4pm on October 15th.

Blocked Time

Block time on your calendar for anything that makes you unavailable for client bookings.

Common blocked time uses:

  • Personal time - Vacation, family events, appointments
  • Editing blocks - Dedicated post-production time
  • Administrative time - Business planning, bookkeeping, marketing
  • Travel days - Days you're unavailable due to travel
  • Recurring time off - Every Sunday, first Monday of the month, etc.

Visual display: Blocked time typically appears as gray or hatched blocks, visually distinct from bookable sessions.

Why block time matters: When you share your calendar with clients or accept mini session bookings, blocked time ensures those dates show as unavailable. This prevents clients from trying to book when you're not working.

Buffer Time

While not visible as separate calendar items, buffer time prevents scheduling conflicts.

What is buffer time? The minimum gap you need between sessions for:

  • Travel to the next location
  • Equipment setup and breakdown
  • Mental transition between clients
  • Unexpected delays

How it works: If you set a 30-minute buffer, the system won't let you schedule a 2pm session if your previous session ends at 1:30pm. The calendar enforces your buffer automatically.

Configure buffer: Set your default buffer time in Settings > Calendar > Buffer Time. You can also set per-session buffers when scheduling specific jobs.

Calendar Color Coding

Visual color coding is one of the calendar's most powerful features. You can glance at a month and instantly understand your workload composition.

Job Type Colors

Default color scheme:

  • Weddings - Deep purple (#8B5CF6)
  • Portraits - Sky blue (#3B82F6)
  • Corporate - Green (#10B981)
  • Events - Orange (#F97316)

  • Custom types - Assign your own colors

Customize colors: Go to Settings > Job Types and click any job type to change its calendar color. Choose colors that make sense for your brain:

  • High-revenue jobs might be gold
  • Quick sessions might be bright colors
  • All-day events might be darker shades

Status Indicators

Some calendars also use visual indicators for status:

  • Solid color - Confirmed and scheduled
  • Striped/Hatched - Tentative or pending confirmation
  • Faded - Past sessions (completed)
  • Gray - Blocked time or unavailable

Visual Strategy

Pro tip: Use similar color shades for related job types. For example:

  • All portrait types (family, senior, newborn) in shades of blue
  • All event types (weddings, parties, corporate) in shades of purple
  • All commercial work in shades of green

Date Navigation

Jump to today: One-click "Today" button returns you to the current date in any view mode.

Move forward/backward:

  • Arrow buttons to go week-by-week or month-by-month
  • Click month/year header to open date picker for big jumps
  • Keyboard shortcuts: arrow keys to navigate dates

Quick date jump: Type a date in the search field to jump directly to that day or week.

View Switching

Toggle between month, week, day, and agenda views with a single click. ShootPath remembers your preferred view and returns to it next time you open the calendar.

View persistence: If you prefer week view, ShootPath will default to week view when you open the calendar. Change your default in Settings > Preferences.

Filtering Calendar Events

As your business grows, you might want to focus on specific types of events.

Filter options:

  • By job type - Show only weddings, or only portraits
  • By status - Show only confirmed sessions, or include tentative
  • By mini session events - Toggle mini sessions on/off

Calendar Integration with Jobs

Your calendar and jobs work together seamlessly.

Adding Session Dates to Jobs

When creating/editing a job:

  1. Open the job detail page
  2. Go to Session Details section
  3. Click Schedule Session
  4. Choose date and time from calendar picker
  5. Set duration and location
  6. Save

The session immediately appears on your calendar with the appropriate color coding and details.

Updating Session Times

From calendar: Drag the session block to a new date or time. ShootPath updates the job automatically and optionally notifies the client of the change.

From job detail: Edit the session date/time in the job's Session Details. The calendar updates automatically.

Two-way sync: Changes made in either place sync instantly. There's no need to update both—they're the same data, just different views.

Rescheduling Sessions

Client requests a reschedule:

  1. Open the job or find the session on the calendar
  2. Click Reschedule
  3. Choose new date/time
  4. Add optional note explaining the change
  5. ShootPath automatically:
    • Updates the calendar
    • Notifies the client via email
    • Updates the job timeline
    • Logs the change in the activity log

Multiple reschedules: The job timeline tracks every reschedule, so you have a record of all date changes. This is helpful if there are questions later about timing or availability.

Canceling Sessions

If a job is canceled, the session is automatically removed from your calendar. You can also manually delete calendar entries if needed.

Scheduling Best Practices

Master these practices to make the most of your calendar.

Avoid Double-Bookings

System prevention: ShootPath won't let you schedule overlapping sessions. If you try to add a session during an already-booked time, you'll get a warning.

Exception: You can override this for specific cases (like assistant-led sessions or if you have multiple photographers on your team).

Manual blocking: If you're tentatively holding a date for a client who hasn't confirmed, block that time on the calendar with a note. This prevents accidentally booking someone else.

Schedule Buffer Time

Why buffers matter: Real life doesn't operate on perfect schedules. Sessions run late, traffic happens, equipment needs attention.

How much buffer:

  • Local sessions: 30-60 minutes between
  • Different locations: Add 15-30 minutes travel time per 10 miles
  • All-day events: Block the entire day, even if the event is 6 hours
  • First session of the day: 30 minutes before to prepare and arrive early

Set default buffers: Configure your typical buffer time in settings. ShootPath will automatically enforce it when scheduling.

Override when needed: For back-to-back mini sessions in the same location, you might reduce buffer to 15 minutes. You're in control.

Block Regular Time Off

Recurring blocked time:

  • Every Sunday (your standard day off)
  • First Friday of each month (administrative work)
  • Wednesday afternoons (editing time)

Seasonal blocked time:

  • November-December: No mini sessions (busy with holiday events)
  • January: Two weeks off post-holiday season
  • August: Editing-intensive month, limited new sessions

Why this matters: Blocked time shows as unavailable when clients try to self-schedule mini sessions or when you share your calendar. This protects your boundaries automatically.

Plan Editing Time

Don't forget editing in your schedule.

Photographers often over-schedule sessions and then panic about editing time. Use your calendar to plan post-production:

Block editing days:

  • After a big wedding: Block 3-4 days for editing
  • Weekly editing blocks: Every Tuesday, 9am-5pm
  • Buffer weeks: Plan light shooting weeks after heavy shooting weeks

Visibility: When editing time is on your calendar, you can see at a glance whether you have enough time to deliver on your promises.

Communicate Changes Promptly
