Detailed Guide
What is the ShootPath Calendar?
Think of your ShootPath calendar as more than just a date book—it's an intelligent scheduling system that understands your photography business. Unlike generic calendars, it knows the difference between a 2-hour portrait session and an all-day wedding. It understands that you need time between sessions for travel and setup. It prevents double-bookings automatically and helps clients see exactly when you're available.
Your calendar consolidates:
- Confirmed sessions - Jobs with scheduled shoot dates and times
- Mini session slots - Public booking events with time slot management
- Travel time - Buffer periods you define
- Personal time - Days off, vacations, and blocked dates
- Editing blocks - Dedicated time for post-production work
- Meetings - Client consultations and planning calls
Everything appears in one unified view, color-coded and organized so you can see your entire business schedule at a glance.
Why Calendar Management Matters
Prevents Overcommitment
It's easy to say "yes" to every inquiry when you're not looking at your full schedule. The calendar shows you what's realistic. You'll see that booking a wedding the same week you're delivering two galleries might not be sustainable.
Professional Client Experience
When you can instantly say "I'm available Saturday the 15th at 2pm" instead of "let me check my calendar and get back to you," you sound organized and professional. Clients appreciate quick, confident responses.
Maximizes Revenue
Strategic calendar management helps you identify open dates to fill with mini sessions, or notice patterns like "I always have openings on Tuesdays" so you can adjust pricing or marketing accordingly.
Reduces Stress
Seeing your schedule visually prevents that panicky feeling of "Did I double-book myself?" or "When is that session again?" You have clarity and control.
Enables Smart Planning
The calendar helps you plan editing time, identify busy vs. slow seasons, schedule marketing efforts, and plan time off without letting clients down.

What Appears on Your Calendar
Your ShootPath calendar automatically populates with events from across your business.
Job Sessions
When you add a session date to a job, it appears on your calendar.
What's included:
- Session date and time
- Duration (e.g., "2-hour family session")
- Client name
- Session location
- Job type (wedding, portrait, etc.)
- Session status (scheduled, completed, rescheduled)
Color coding: Each job type has its own color (configurable in Settings > Job Types):
- Weddings might be purple
- Family portraits might be blue
- Corporate headshots might be green
- Real estate shoots might be orange
This instant visual recognition helps you see at a glance what kind of day you have ahead.
How they appear: Job sessions show on the calendar as colored blocks during scheduled times. Click any session to see details or open the full job.
Mini Session Events
Mini sessions appear differently because they involve multiple clients booking time slots within a single event.
What's included:
- Event date and time window (e.g., "Fall Mini Sessions: 10am-4pm")
- Location
- Number of slots available vs. booked
- Price per slot
- Total bookings
Visual display: Mini session events typically show as a larger block spanning the entire event duration, with indicators showing how many slots are filled.
Example: "Fall Mini Sessions - 8 of 10 slots booked" appears as a colored bar from 10am-4pm on October 15th.

Blocked Time
Block time on your calendar for anything that makes you unavailable for client bookings.
Common blocked time uses:
- Personal time - Vacation, family events, appointments
- Editing blocks - Dedicated post-production time
- Administrative time - Business planning, bookkeeping, marketing
- Travel days - Days you're unavailable due to travel
- Recurring time off - Every Sunday, first Monday of the month, etc.
Visual display: Blocked time typically appears as gray or hatched blocks, visually distinct from bookable sessions.
Why block time matters: When you share your calendar with clients or accept mini session bookings, blocked time ensures those dates show as unavailable. This prevents clients from trying to book when you're not working.
Buffer Time
While not visible as separate calendar items, buffer time prevents scheduling conflicts.
What is buffer time? The minimum gap you need between sessions for:
- Travel to the next location
- Equipment setup and breakdown
- Mental transition between clients
- Unexpected delays
How it works: If you set a 30-minute buffer, the system won't let you schedule a 2pm session if your previous session ends at 1:30pm. The calendar enforces your buffer automatically.
Configure buffer: Set your default buffer time in Settings > Calendar > Buffer Time. You can also set per-session buffers when scheduling specific jobs.
Calendar Color Coding
Visual color coding is one of the calendar's most powerful features. You can glance at a month and instantly understand your workload composition.
Job Type Colors
Default color scheme:
- Weddings - Deep purple (#8B5CF6)
- Portraits - Sky blue (#3B82F6)
- Corporate - Green (#10B981)
- Events - Orange (#F97316)
- Commercial - Teal (#14B8A6)
- Custom types - Assign your own colors
Customize colors: Go to Settings > Job Types and click any job type to change its calendar color. Choose colors that make sense for your brain:
- High-revenue jobs might be gold
- Quick sessions might be bright colors
- All-day events might be darker shades
Status Indicators
Some calendars also use visual indicators for status:
- Solid color - Confirmed and scheduled
- Striped/Hatched - Tentative or pending confirmation
- Faded - Past sessions (completed)
- Gray - Blocked time or unavailable
Visual Strategy
Pro tip: Use similar color shades for related job types. For example:
- All portrait types (family, senior, newborn) in shades of blue
- All event types (weddings, parties, corporate) in shades of purple
- All commercial work in shades of green
This creates visual "families" that help you see patterns at a glance.
Navigating the Calendar
Efficient calendar navigation helps you find what you need quickly.
Date Navigation
Jump to today: One-click "Today" button returns you to the current date in any view mode.
Move forward/backward:
- Arrow buttons to go week-by-week or month-by-month
- Click month/year header to open date picker for big jumps
- Keyboard shortcuts: arrow keys to navigate dates
Quick date jump: Type a date in the search field to jump directly to that day or week.
View Switching
Toggle between month, week, day, and agenda views with a single click. ShootPath remembers your preferred view and returns to it next time you open the calendar.
View persistence: If you prefer week view, ShootPath will default to week view when you open the calendar. Change your default in Settings > Preferences.
Filtering Calendar Events
As your business grows, you might want to focus on specific types of events.
Filter options:
- By job type - Show only weddings, or only portraits
- By status - Show only confirmed sessions, or include tentative
- By mini session events - Toggle mini sessions on/off
- By blocked time - Show/hide blocked dates
Use case example: You're planning next month's editing schedule. Filter to show only completed sessions that still need galleries delivered. This focuses your calendar on what actually requires your time.
Search and Find
Search for:
- Client names
- Session locations
- Job numbers
- Date ranges
Example: Type "Smith wedding" to instantly jump to the Smith wedding session, no matter how far in the future it is.
Calendar Integration with Jobs
Your calendar and jobs work together seamlessly.
Adding Session Dates to Jobs
When creating/editing a job:
- Open the job detail page
- Go to Session Details section
- Click Schedule Session
- Choose date and time from calendar picker
- Set duration and location
- Save
The session immediately appears on your calendar with the appropriate color coding and details.
Updating Session Times
From calendar: Drag the session block to a new date or time. ShootPath updates the job automatically and optionally notifies the client of the change.
From job detail: Edit the session date/time in the job's Session Details. The calendar updates automatically.
Two-way sync: Changes made in either place sync instantly. There's no need to update both—they're the same data, just different views.
Rescheduling Sessions
Client requests a reschedule:
- Open the job or find the session on the calendar
- Click Reschedule
- Choose new date/time
- Add optional note explaining the change
- ShootPath automatically:
- Updates the calendar
- Notifies the client via email
- Updates the job timeline
- Logs the change in the activity log
Multiple reschedules: The job timeline tracks every reschedule, so you have a record of all date changes. This is helpful if there are questions later about timing or availability.
Canceling Sessions
If a job is canceled, the session is automatically removed from your calendar. You can also manually delete calendar entries if needed.
Scheduling Best Practices
Master these practices to make the most of your calendar.
Avoid Double-Bookings
System prevention: ShootPath won't let you schedule overlapping sessions. If you try to add a session during an already-booked time, you'll get a warning.
Exception: You can override this for specific cases (like assistant-led sessions or if you have multiple photographers on your team).
Manual blocking: If you're tentatively holding a date for a client who hasn't confirmed, block that time on the calendar with a note. This prevents accidentally booking someone else.
Schedule Buffer Time
Why buffers matter: Real life doesn't operate on perfect schedules. Sessions run late, traffic happens, equipment needs attention.
How much buffer:
- Local sessions: 30-60 minutes between
- Different locations: Add 15-30 minutes travel time per 10 miles
- All-day events: Block the entire day, even if the event is 6 hours
- First session of the day: 30 minutes before to prepare and arrive early
Set default buffers: Configure your typical buffer time in settings. ShootPath will automatically enforce it when scheduling.
Override when needed: For back-to-back mini sessions in the same location, you might reduce buffer to 15 minutes. You're in control.
Block Regular Time Off
Recurring blocked time:
- Every Sunday (your standard day off)
- First Friday of each month (administrative work)
- Wednesday afternoons (editing time)
Seasonal blocked time:
- November-December: No mini sessions (busy with holiday events)
- January: Two weeks off post-holiday season
- August: Editing-intensive month, limited new sessions
Why this matters: Blocked time shows as unavailable when clients try to self-schedule mini sessions or when you share your calendar. This protects your boundaries automatically.
Plan Editing Time
Don't forget editing in your schedule.
Photographers often over-schedule sessions and then panic about editing time. Use your calendar to plan post-production:
Block editing days:
- After a big wedding: Block 3-4 days for editing
- Weekly editing blocks: Every Tuesday, 9am-5pm
- Buffer weeks: Plan light shooting weeks after heavy shooting weeks
Visibility: When editing time is on your calendar, you can see at a glance whether you have enough time to deliver on your promises.
Communicate Changes Promptly
If you reschedule: Always notify the client immediately, even if the change seems minor to you. They've likely scheduled their whole day around your session.
Use ShootPath's notification: When rescheduling from the calendar or job page, ShootPath can automatically send a professional email to the client explaining the change.
Review Your Calendar Weekly
Sunday evening or Monday morning:
- Review the week ahead
- Confirm all session locations
- Check that you have addresses and directions
- Verify equipment needs for each session
- Ensure editing time is allocated for past sessions
This 10-minute review prevents surprises and helps you show up prepared every day.
Common Calendar Workflows
Here are typical ways photographers use the calendar throughout their week.
Daily Morning Routine
Check today's schedule:
- Open calendar in Day view
- Review each session: time, location, client name
- Check for notes or special requests
- Confirm equipment is packed
- Review driving directions for first location
Time required: 5 minutes
Impact: Arrive confident and prepared for every session.
Weekly Planning Session
Sunday or Monday morning:
- Review calendar in Week view
- Identify which sessions need gear prep
- Block editing time for sessions shot last week
- Check for scheduling conflicts or tight turnarounds
- Plan which galleries need delivery this week
Time required: 15 minutes
Impact: Clear view of the week ahead, no surprises.
Monthly Availability Check
First of each month:
- Review calendar in Month view
- Identify open dates that could be mini session events
- Block personal time and vacations
- Notice patterns: busy weekends, slow weekdays
- Adjust availability for client self-scheduling
Time required: 20 minutes
Impact: Strategic scheduling and maximum revenue potential.
Client Inquiry Response
When a lead asks about availability:
- Open calendar while on the phone or email
- Switch to Week or Month view for context
- Suggest 2-3 specific dates that work well
- Confirm travel distance and buffer time
- Block tentative date if client needs to confirm later
Time required: 2 minutes
Impact: Fast, professional response that books more clients.
Calendar and Team Collaboration
If you work with assistants, second shooters, or editors, the calendar becomes a shared planning tool.
Team Calendar Visibility
What team members see:
- All scheduled sessions (with access controls)
- Who's assigned to each session
- Session locations and times
- Job type and client names
Benefits:
- Everyone knows who's shooting what
- No confusion about coverage
- Easy to spot where help is needed
Task Assignment
Assign sessions to team members:
- Mark which sessions need a second shooter
- Assign assistant to specific events
- Allocate editing tasks based on calendar dates
Example: Your calendar shows three portrait sessions next Saturday. You assign:
- 10am session → You (solo)
- 2pm session → You + assistant
- 5pm session → Second shooter (you're double-booked with a wedding)
Shared Buffer Time
Team considerations: If multiple team members use the same studio or equipment, coordinate buffer time so everyone has what they need when they need it.

Troubleshooting Common Calendar Issues
Sessions Not Appearing on Calendar
Check:
- Is the session date actually set in the job? (Go to Job > Session Details)
- Is the calendar filter hiding this job type?
- Is the calendar view showing the correct date range?
Fix:
- Add or update the session date in the job
- Clear calendar filters
- Navigate to the correct date
Sync Issues with External Calendars
If your ShootPath calendar isn't syncing properly with Google Calendar or iCal:
Check:
- Is the calendar feed URL still valid?
- Did you revoke access by accident?
- Is the external calendar app polling for updates? (Some update every 24 hours)
Fix:
- Re-authenticate the integration in Settings > Integrations
- Force refresh the external calendar
- Check sync logs for error messages
Learn more about calendar integrations →
Double-Booking Despite Safeguards
This happens when:
- You manually override the conflict warning
- Someone books a mini session slot while you're scheduling a job session
- External calendar events don't sync immediately
Prevent:
- Always check the calendar before confirming dates with clients
- Enable real-time sync for external calendars if available
- Review weekly for conflicts and resolve immediately
Calendar Colors Not Displaying Correctly
Check:
- Job type colors in Settings > Job Types
- Browser display settings or color scheme
- Blocked time vs. session color differentiation
Fix:
- Assign distinct colors to each job type
- Refresh browser or clear cache
- Use high-contrast colors for better visibility
Calendar Settings and Preferences
Customize your calendar to work the way you work.
Access settings: Go to Settings > Calendar to configure:
Default view: Choose which view (month/week/day/agenda) opens by default when you access the calendar.

First day of week: Some photographers prefer Sunday, others Monday. Set whichever makes sense for your planning style.
Time zone: Ensure your calendar uses the correct time zone, especially if you travel or have clients in multiple zones.
Buffer time: Set default buffer time between sessions (30 minutes, 1 hour, etc.).
Color scheme: Choose between light/dark calendar themes or match your system preference.
Notification preferences:
- Session reminders (1 day before, 1 hour before)
